International mobility programmes: approval, amendments, and recognition of learning activities

General information and administration procedures

INTERNATIONAL MOBILITY PROGRAMMES

Erasmus+ is the European Union's main programme to support education, training, youth, and sport, and comprises all the previous programmes activated in different fields of education (LLP, Youth in Action, Erasmus Mundus, Tempus, Alfa, Adulink and the programme of cooperation with industrialized countries).

The Erasmus+ Study programme allows students to spend time abroad studying or training (through the Erasmus+ Traineeship) between three to twelve months at a European institute that signed the Erasmus+ 2021-27 agreement.

Overseas is the mobility exchange programme that promotes mobility in extra-EU countries and allows students to study at a partner University that has signed a mobility agreement with the University of Bologna. The programme offers students the opportunity to attend courses and, in some specific cases, take part in research for dissertation purposes, attend courses of oriental languages or work as an Italian foreign language assistant.

ADMINISTRATION PROCEDURES

Information regarding the required procedures to approve, modify and get recognition of the activities completed abroad within an international mobility programme are available here:

How to fill in and submit the Learning Agreement

Successful Erasmus+ candidates, after having accepted the offer through the AlmaRM specific procedure, should fill in their Learning Agreement (LA) according to the rules of their Degree Programme regarding the recognition of the learning activities completed abroad. You can download the guidelines “Rules for recognition of learning activities completed abroad” (in pdf) on the right side of this page.

Erasmus+ winners have to read the rules for recognition before contacting the Professor in charge of the agreement and the International Mobility Office, in order to understand the procedure to follow.

Students are expected to:

  • read carefully the rules for recognition of learning activities completed abroad (file downloadable in pdf on the Attachment section);
  • agree with the Professor in charge of the agreement the activities plan for the exchange period;
  • select in AlmaRM the agreed learning activities and wait for both approvals, one from the Professor in charge of the agreement and one from the Degree Programme Coordinator;
  • wait for the International Mobility Office to upload the approved and final LA; later, it will be possible to download the Mobility Agreement, sign it and upload it in AlmaRM;
  • once arrived at the foreign institute, get the Learning Agreement signed by the competent Professor or the International Mobility Office and upload the approved document in AlmaRM.

How to amend the Learning Agreement

Only if the previously approved Learning Agreement cannot be fulfilled and modifications are needed, students are required to:

  • agree with the Professors in charge of the agreement (both from UniBo and the partner institute) on the learning activities to add/delete;
  • submit an amendment of the Learning Agreement on AlmaRM;
  • wait for both approvals, one from the Professor in charge of the agreement and one from the Degree Programme Coordinator; the procedure usually takes up until 15 days, so it is advisable to start it with sufficient advance;
  • wait for the International Mobility Office to upload in AlmaRM the approved document;
  • print out and get the amended LA signed by the competent Professor at the foreign institute;
  • only if not previously done, upload the LA signed and approved from all the three parts in AlmaRM; alternatively, if this was already done before, at least one version of the LA signed by all the parts is sufficient for administration purposes;
  • students are strongly advised to submit potential and strictly essential amendments up until 5 weeks after the starting date of classes.

Getting recognition for activities completed abroad

  • at the end of the mobility, the foreign University will send the Transcript of Records, a certification of the learning activities completed abroad.
  • the Transcript could be given directly to the student when leaving or could be sent to the offices of the home University. Students are responsible to check if the document is correct and how it is provided by the foreign University.
  • the Transcript of Records lists all learning activities completed abroad, with grades as indicated in the local system. Usually, it also comprises an addendum with the correspondent ECTS grades.
  • it is possible to consult the official ECTS grading table as adopted from the University of Bologna of the applicable disciplinary area (ISCED Area 04 – Business, administration and law) on this page. The Professor in charge of the agreement will convert the grades according to said table.
  • students, after checking with the Professors, will be able to submit the request for recognition in AlmaRM.
  • the request for recognition must be approved by both the Professor in charge and the Degree Programme Coordinator. Please note that the procedure may take up to 35 days.
  • Once the request is approved, the Student Administration Office will proceed to update your academic career.
